This Privacy Policy describes how ClicGarage ("we", "us", "our") collects, uses, discloses, and protects personal information when you use the ClicGarage website and software services (the "Services"). The Services are an all-in-one workshop management platform for automotive repair shops in Canada—including calendars and bay scheduling, online booking, customers and vehicles, repair orders, inspections, estimates and invoices, parts inventory and purchase orders, tire storage, team roles, reminders (email/SMS), and related operational features.

This policy applies to individuals who visit our website, create or use an account, contact us, or otherwise interact with the Services. Depending on the situation, Canadian requirements may include Quebec's private-sector privacy law (Law 25) and/or the federal Personal Information Protection and Electronic Documents Act (PIPEDA), among others. We aim to meet applicable Canadian requirements.

Personal information we collect

We may collect: account and identity information (name, email, telephone, credentials, role, workshop, organisation, or business identifiers); workshop operational information (locations, hours, bays, staff and role assignments, services, settings, subscription and billing account details); customer and vehicle details entered by a workshop or provided through booking or customer-portal flows (names, contact information, vehicle identifiers, odometer readings, appointment and job details, inspection content and photos, estimates and invoices, parts and tire-storage records, notes, communication preferences); information you submit through our website contact form, demo-request form, or other support channels (such as name, email, phone, workshop details, and message content); technical and usage data (IP address, device and browser type, logs, approximate region from IP, security signals, in-product usage events); and limited payment-related information when payments or subscriptions are processed by a payment service provider (we generally do not store full payment card numbers on our servers). Our public marketing website does not publish a personal phone number or street address for general inquiries; those inquiries are handled through on-site forms.

How we use personal information

We use personal information to provide, secure, operate, and improve the Services; manage accounts, authentication, permissions, organisations, multi-site access, and customer support; process workshop workflows such as scheduling, repair orders, inspections, estimates, invoices, inventory, and tire storage; send operational messages such as appointment-related notices, document links, and reminders (as configured by the workshop), service updates, and security alerts; detect, investigate, and prevent fraud, abuse, and security incidents; comply with legal obligations and respond to lawful requests; and analyze usage in aggregated or de-identified form. We will only send promotional communications where permitted by law and, where required, with consent, which you may withdraw.

Consent and legal authority (Canada and Quebec)

Where required by law, we rely on consent (express or implied, depending on context and sensitivity), performance of a contract, legitimate interests balanced against privacy impacts where recognized, and legal obligations. Quebec law may require clearer consent or additional measures for certain secondary uses, sensitive information, certain technologies, or cross-border disclosure. We limit collection to what is reasonably necessary for the purposes described.

When workshops process their customers' information

When a workshop uses ClicGarage to manage operations and customer records (including appointments, repair orders, inspections, estimates, invoices, vehicles, parts, and tire storage), the workshop typically decides why and how that customer information is used for its operations. In many cases the workshop is principally accountable for that customer information, while we process it on the workshop's instructions to provide the Services (similar to a service provider or processor relationship). Workshops are responsible for their own customer-facing privacy notices and for obtaining any required consents, including for commercial electronic messages under Canada's anti-spam legislation (CASL) where applicable.

Service providers and disclosure

We may share personal information with service providers that assist us with hosting, email and SMS delivery, file or media storage, authentication, customer support, security monitoring, payment and subscription processing, analytics, and similar functions, under contractual safeguards. We may also disclose information to integrations you connect (based on configuration), to comply with lawful demands, to protect rights and safety, and in connection with a merger, acquisition, or financing, subject to appropriate safeguards. We do not sell personal information as a commercial "sale" of personal data in the ordinary sense.

Storage and cross-border processing

Personal information may be processed or stored in Canada and/or other countries where our service providers operate. Information may therefore be accessible under the laws of another jurisdiction. Where required by applicable law, we use appropriate safeguards and assess transfers accordingly.

Retention

We retain personal information only as long as needed for the purposes described in this policy, including for legal, security, and business continuity needs, and then delete or anonymize it in accordance with our retention practices, subject to backup cycles.

Security

We implement reasonable technical and organizational safeguards appropriate to the sensitivity of the information. No method of transmission or storage is completely secure.

Your privacy rights

Depending on applicable law, you may have rights to access, correct, or delete personal information, withdraw consent where processing is consent-based, obtain certain portability information, and seek additional remedies available in Quebec and elsewhere. If your request relates to information a workshop controls in our platform, we may direct you to the workshop where appropriate. Cookies and similar technologies

We use essential cookies and similar technologies needed for security and core functionality. If we use non-essential technologies (such as certain analytics tools), we will describe them and obtain consent where required by law.

Security incidents

We maintain processes to detect and respond to incidents involving personal information. Where required by applicable law, we will notify affected individuals and/or regulators, including potentially the Commission d'accès à l'information du Québec, within required timelines.

Children

The Services are intended for businesses and are not directed to children. We do not knowingly collect personal information from children for consumer purposes.

Automated decision-making

We do not use solely automated decision-making that produces legal or similarly significant effects concerning individuals, except as we may describe in a separate notice if that changes.

Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version and revise the "Last updated" date. Where required, we will provide additional notice (for example by email or in the product).
